The Client

A French multinational chemicals company, one of the world’s largest supplier of industrial gases and has operations in over 80 countries. The Financial Shared Services Centre in Asia processes over 300,000 requests per year related to 49 finance processes.

Challenge

Paper based applications and approval process for workflows managed by Temp Desk team like contract renewal, contract extension, conversion form temp to perm staff, were tedious and time consuming. No systematic control over approvals, no visibility of approval status, chances of wrong approvals, long waiting times and excessive processing were some of the operational challenges in the process.

Solution

Using ServiceNow Now® platform, created forms and approval workflows for Temp Desk: Contract Renewal approval flow, Staff change approval flow, Temp to Perm approval flow, Initial contracting flow. The digital workflows automate the approval process based on complex approval rules and matrix.

Accomplishments

Forms, digital workflows, notifications, and all components were built to support multiple languages across Asian countries, including Japanese. Tickets are now managed more efficiently with built-in data validation and automation rules. Users benefit from clear visibility, enabling them to track any discrepancies or data manipulation during the approval workflow. This system has achieved a 100% elimination of defects and prevents documents from being lost or misplaced.
